Processing of Personal Data

With this data protection notice, Heinrich Heine University Düsseldorf (hereinafter referred to as HHU) fulfills its obligation to provide information pursuant to Article 13 of the General Data Protection Regulation (hereinafter referred to as DSGVO) for the processing of personal data mentioned here.
Supplementary information can be found in the HHU data protection declaration (https://www.uni-duesseldorf.de/home/footer/datenschutz.html ).
With regard to the terms used, "personal data", "processing", "controller", "third party", etc., reference is made to the definitions in Article 4 of the DSGVO.

The eLearning office medizin is a division of the Dean of Studies Office of the Medical Faculty of the Heinrich Heine University Düsseldorf. On this website you will find information on the processing of personal data by the eLearning office medizin.

Responsible for the processing and use of personal data as well as audio/image and video recordings (hereinafter referred to as recording material) is the HHU, a legal public corporation supported by the state of NRW. It is represented by the Rector Prof. Dr. Anja Steinbeck.

Data Processing for Lectures and Events

In the course of organizing and conducting trainings, workshops and events of the eLearning office medizin, personal data of you will be processed for various purposes.

Processing of personal data of participants:
If you participate in an event, we collect your personal data for the organization of the event:
When you register, we ask for and store your first name, last name, e-mail address and, if applicable, your title/academic degree. We collect this data in order to provide you with all the information you need to participate in the event.
In addition, we record which of our offers you would like to participate in.
Other data (voluntary):

Unikennung: For some offers (e.g. ILIAS training courses) ILIAS (https://ilias.hhu.de) is used. In order to add you to the corresponding course, we need your Unikennung.
Institute/clinic/facility affiliation and faculty affiliation: In order to better respond to the needs of participants and for statistical purposes, we ask you for your organizational affiliation.
We keep your first name, last name (and title/academic degree, if applicable) in a list of participants.
Upon request, we will issue a confirmation of participation/certificate for training courses or workshops. For this purpose, further personal data may be requested from you and processed.
Only for virtual events:
For the implementation of virtual events, we use the video conferencing system of the company Cisco (Webex) or alternatively MS Teams of the company Microsoft. When using these, personal data from you (language, image and the name you provided when registering) are processed by this software. In addition, further data of you will be stored which are technically necessary for the execution of the videoconference. Processing of personal data of lecturers or speakers:
If we have invited you as a lecturer or speaker to an event, we process your data with your consent as follows

We include your title/acad. degree, first and last name, organizational affiliation, and contact information, if applicable, in the program.
The program of the event will be published on the HHU website, internal systems (intranet or ILIAS) and, if applicable, mail distribution lists.
For statistical purposes, we may evaluate your data anonymously.

 

The collection of personal data for the stated purposes is based on the express or implied consent of the data subjects pursuant to Art. 6 para. 1 lit. a. DSGVO.  

By turning on the "I agree." button or by filling out and submitting the registration form, you impliedly express your consent to participate and the associated processing of your data.

For virtual events:
The extent of participation in the event is at your discretion. By turning on the camera or your microphone, you impliedly consent to the processing of your speech and images during the event. You can voluntarily provide information in the chat. Participation in the event and switching on the camera and microphone are voluntary. You will not suffer any disadvantages if you do not choose these forms of participation.

We do not transfer your personal data processed by HHU for the purposes mentioned in 2 above to third parties, with the exception of the operator of the aforementioned video platform.

Exceptions:

Some training courses are offered in cooperation with (external) instructors/lecturers; if this is the case, we transmit a list of participants if necessary.

Some training courses can be credited for the "University Didactics Certificate Program" of the Service Center for Good Teaching and Learning (SeLL) - we may point this out in the event announcement. If you would like to make use of this possibility, we will transmit your data including participation status to the SeLL.

We would like to point out that the IT departments or a service provider may have access in the context of care and maintenance work.

The platform of the video conference is Webex or MS Teams. The companies Cisco and Microsoft respectively have access to your data. As these are American companies, there is no adequate level of protection equivalent to the EU. Personal Data will be deleted within three months after the event or as soon as you revoke the agreement.

6th - Your Rights

As a data subject, you can assert the rights granted to you by the GDPR at any time:

  • the right to information as to whether and which of your data is being processed (Art. 15 DSGVO). The restrictions according to § 12 DSG NRW apply;
  • the right to request that the data concerning you be corrected or completed (Art. 16 DSGVO);
  • the right to have the data concerning you deleted in accordance with Art. 17 DSGVO. The restrictions according to § 10 DSG NRW apply;
  • the right to request restriction of the processing of the data in accordance with Art. 18 DSGVO;
  • the right to object to future processing of the data concerning you in accordance with Art. 21 DSGVO;
  • the right to revoke a given consent at any time. This does not affect the lawfulness of the processing carried out on the basis of the consent until revocation (Art. 7 (3) DSGVO).

In addition to the aforementioned rights, you have the right to lodge a complaint with the supervisory authority (Art. 77 DSGVO). The supervisory authority responsible for HHU is:

7th - Effectiveness of the Above

We reserve the right to amend this privacy policy to adapt it to changes in relevant laws or regulations or to better meet your needs. This data protection notice applies in the version last published by HHU.
